Provided expertise and guidance for Microsoft to achieve their strategic goal to align service provision across their 4 main Western Europe subsidiaries (UK, Ireland, France Germany), by introducing a single supplier for Facilities Management and Security services.

Managing the full tender process for both service lines including:

  • Engaging with the key country stakeholders.

  • Working alongside the Microsoft team to develop tender documents.

  • Liaising with contractor companies.

  • Devising and leading the tender process programme.

  • Producing final analysis and executive summary reports.

The outcome of both tender processes was the appointment of European Regional Security, and Facilities vendors to provide services across the Western Europe subsidiaries. Aligning consistent scope deliverables and management structure, whilst achieving sustainable savings with enhanced service delivery, across the term of the contract.

  • Developed and implemented a facilities management strategy, aligned to the organisation’s strategic objectives, providing a detailed road map for achieving success in the delivery of the facilities management function, for the Microsoft portfolio in South Africa.

Working with the Microsoft team and incumbent service provider We undertook a gap analysis of tendered versus delivered work, looking at scope details, resource levels, productivity, and material costs across soft and hard services. We reviewed the application of contract variations through the complete supply chain and provided transparency around the country level inflationary increases throughout the term of the contract.

The facilities management data gathered was then benchmarked against a range of international FM Operators to inform a management decision to review the incumbent providers contractual arrangements.

Following the management decision to move forward with the incumbent services provider we carried out a negotiation process with their senior management and operations teams. Identifying opportunities to revise the service delivery model to provide a leaner structure.

Once this exercise was completed, we drafted, the new Facilities Management contract for the MS portfolio in South Africa achieving significant costs savings whilst enhancing service excellence.

A 79,000 sqf newly build office, complicated by the loss of both the local Facilities Manager and Client Representative.
